Please read these Terms and Conditions carefully before purchasing or using BraidsBot™ services. By completing a purchase, you agree to be bound by these terms. If you do not agree, do not purchase or use our services.
These Terms and Conditions ("Terms") constitute a legally binding agreement between you ("Client," "you," or "your") and Bates Branding Group LLC, a Texas limited liability company ("Company," "we," "us," or "our"), the owner and operator of BraidsBot™ and related services. By purchasing our services, you confirm that you are at least 18 years of age and have the legal authority to enter into this agreement.
BraidsBot™ provides an AI-powered booking and client response system designed for independent braiders and beauty professionals. Services include but are not limited to:
Service features and availability may be updated or modified at any time. We will notify active subscribers of material changes.
Setup Fee: A one-time setup fee is charged at the time of purchase to cover the cost of building and configuring your custom BraidsBot™ system.
Monthly Subscription: A monthly subscription fee is charged beginning on the date your system is delivered and activated. Your subscription renews automatically each month on that same date.
AI Voice Minutes: Your plan includes a set number of AI voice minutes per month. Additional minutes are billed at the per-minute rate stated at the time of purchase.
All payments are processed securely through Stripe. By providing payment information, you authorize us to charge the amounts due under these Terms.
The one-time setup fee is strictly non-refundable. This fee covers the labor, tools, and resources required to build your custom BraidsBot™ system. Work begins upon receipt of your completed onboarding form. No refunds will be issued under any circumstances once payment has been made.
Monthly subscription fees are non-refundable for the current billing period. You may cancel your subscription at any time and your service will remain active through the end of the current paid period.
If you fail to pay your monthly subscription fee, your BraidsBot™ system will be suspended until payment is received. Accounts suspended for non-payment for more than 30 days may be permanently deactivated.
We target a delivery window of 7 to 14 business days from the date we receive your completed onboarding information. This timeline is an estimate and not a guarantee. Delays caused by incomplete onboarding information, client unresponsiveness, or third-party service issues are not the responsibility of Bates Branding Group LLC.

We reserve the right to suspend or terminate your account immediately if we determine you are using the service in violation of these Terms or applicable law.
You are responsible for ensuring that your use of AI voice and automated messaging complies with all applicable laws including the Telephone Consumer Protection Act (TCPA) and any state-specific regulations. You represent and warrant that you have obtained all necessary consents from your clients to receive automated calls and text messages.
BraidsBot™, The Salon Genius™, Claudia™, Wallace™, GeniusScan™, and all related brand names, logos, and content are the property of Bates Branding Group LLC and are protected by applicable intellectual property laws. You may not reproduce, distribute, or create derivative works from our brand assets without express written permission.
Content you provide during onboarding (your business name, services, policies, etc.) remains your property. You grant us a limited license to use this content solely to build and operate your BraidsBot™ system.
To the maximum extent permitted by law, Bates Branding Group LLC shall not be liable for any indirect, incidental, special, consequential, or punitive damages including but not limited to loss of revenue, loss of clients, or business interruption arising from your use of BraidsBot™ services.
Our total liability to you for any claims arising under these Terms shall not exceed the total amount you paid us in the three months preceding the claim.
BraidsBot™ services are provided "as is" without warranties of any kind, express or implied. We do not warrant that the service will be uninterrupted, error-free, or that it will meet your specific business goals. Results vary based on individual business circumstances, market conditions, and how the service is used.
BraidsBot™ integrates with third-party platforms and services. We are not responsible for the availability, accuracy, or performance of third-party services. Their terms and privacy policies govern your use of those platforms.
You may cancel your subscription at any time by contacting us at the email below.
Monthly Subscriptions: Cancellation takes effect at the end of your current billing period. Your system will remain active through that date. We do not provide prorated refunds for mid-period cancellations.
Annual Subscriptions: Annual subscriptions are non-refundable. If you cancel your annual plan your service remains active until the end of your current paid year. No partial refunds or prorated credits will be issued under any circumstances.
Lifetime Founder Rate: Your lifetime founder rate is locked as long as your subscription remains continuously active. Cancelling your subscription or allowing your account to remain inactive for 30 or more consecutive days permanently forfeits your lifetime founder rate. If you choose to resubscribe after cancellation or a lapse you will be charged at the then-current regular rate — $1,497 setup fee plus $497 per month — with no exceptions.
We reserve the right to suspend or terminate your account for violation of these Terms, non-payment, or any conduct we determine to be harmful to our business or other clients.
These Terms shall be governed by and construed in accordance with the laws of the State of Texas, without regard to its conflict of law provisions. Any disputes arising under these Terms shall be resolved in the courts of Texas.
We reserve the right to update these Terms at any time. We will notify active subscribers of material changes via email. Continued use of the service after changes are posted constitutes acceptance of the updated Terms.
